This page contains logistics and information for IX Showcase exhibiting artists. The general information is the same from year-to-year, but we will update this page with anything new as the year progresses, including updates to our Covid-19 policy, if necessary. Covid-19 Policy
As of 1/5/23, there are no Covid requirements in place. However, we do anticipate that it may well be necessary to require masking in show areas again this year.

Setup Process

The 2023 IX Showcase is October 20th and 21st, 2023.

The Showcase begins at 8 pm both nights and runs until midnight.

Setup for the Showcase begins on Friday at 5 pm. You will not be able to access the ballroom before this time.

At midnight on Friday, the ballroom will be closed and locked, so you can leave your materials set up. The ballroom will reopen at 7:30 pm on Saturday in case you need to make any tweaks to your setup.

Teardown occurs immediately following the end of the Showcase at midnight on Saturday. All of your materials must be removed from the ballroom by 2 am.

When you load in your materials to the hotel, please do not keep the hotel carts. Other guests need to use those carts during the day on Friday.

You will be given a 6 foot by 30 inch table, with a white tablecloth and two chairs. You are welcome to use any other display items you like – ProPanels, gridwall, easels, etc. You may NOT affix anything to the walls or the tables.

The individual spaces vary slightly in size, but you can figure on a minimum of 9 feet in width and 6 feet in depth. Wall spaces are larger and available on request on a first come, first served basis.

All Showcase table spaces will be assigned in advance. When you arrive at the Showcase, there will be a map and name list affixed to the doors. Simply find your name on the list, check your table number, and then locate your table on the map. All tables have an index card on them with the table number.

If you have a specific need for your table – power, extra space, a specific neighbor – let us know and we will do our best to accommodate your requests. There are no extra fees.

The state of Pennsylvania does require that you register and pay sales tax on sales made at the Showcase. You do not need to provide us with any verification. You can register for free here.

IX Website gallery management

You automatically have an account and a gallery in the IX show site.

When you purchased your table, our system automatically created an account for you and marked you as a 2023 IX Showcase exhibitor, so your gallery will show on the IX Showcase page.

For your gallery, you should upload a head shot and a bio. You can also post up to 12 images to show samples of your work. (You can actually upload more than 12, but only the first 12 will show on the page.) You can reorder your images – the first one is the one that will show as your thumbnail on the Showcase page.

To log in, just go to www.ixartists.com and enter the email address that you used to sign up for Showcase tables. If this is your first time logging in, hit “Forgot password” to reset – the system will send you an email to set a new password, and then you can log in. (If you applied for the Main Show, then you already have an account and a gallery from that process – just log in.)

You will be able to access this account and make changes any time you like. You can reorder, add, delete, or revise your images at will.

This account/gallery will persist over time, although the gallery will only be visible on the site if you are in the current show. So if you wish to apply for the Main Show in 2024, for example, you will be able to log in to your account and submit work. If you wish to sign up for portfolio reviews, you will be able to log in and do so.

We provide these galleries both as a service to you, the artists, as well as for the show so that attendees can see examples of work by all of the amazing artists that will be at the show. So please do at least put one piece in your gallery so that our thumbnail page looks nice.

FAQs

Is a ticket to the Main Show included in the table purchase, or do I need to buy a separate ticket?

Your Showcase table fee includes a 5-day pass for the Main Show, so you do not need to buy a ticket in addition to your table.

Can I have a friend/spouse/lackey help me at the Showcase? Do they need a ticket for that?

The Showcase event is free to attend – no tickets are required. So you may bring any assistants/friends/minions that you wish to the Showcase – the more, the merrier!

Can my friend/spouse/lackey attend the Main Show as well?

The Showcase table includes a single 5-day pass. So while your associates can attend the Showcase for free, they will need to purchase an appropriate ticket to also attend the Main Show.

Can I rent panels or gridwall from IX to hang my work at the Showcase?

Unfortunately, all of IX’s panels are used in the Main Show setup, and so we are unable to loan or rent panels for the Showcase.

I need electricity for the laser beams in my display. Can I get power for my Showcase table?

We will provide you a space with access to outlets upon request on a first come, first served basis. There is no additional fee for electricity.

I really want to do the Showcase, but my signature painting is 12 feet long. Is there any way I can get a larger space to accommodate my work?

If you have special requirements to properly exhibit your work, email us and we will do our best to figure out a workable solution.

I bought a table, but now I can’t attend the show. What are my options?

Showcase tables are non-refundable. However, we are happy to offer a credit that you can use for a future show. Alternately, you are welcome to sell your table to another artist – we just need you to tell us that you are doing so, and provide us with the name and email address for the artist who is taking the table.

Why does the Showcase take place in the evening? Why not all day like the Main Show?

The purpose of the Showcase is to allow artists to be both exhibitors and attendees at the same time. You can attend the Main Show, enjoy all of the programming and events, hobnob with friends and the Main Show exhibitors, and then exhibit your work at the Showcase while your friends and Main Show exhibitors now come and hobnob with you.

Are food and drinks permitted in the Showcase?

We not only allow food and drinks in the Showcase, we provide a pop-up bar right outside the doors to make it as easy as possible to enjoy your favorite libations during the event. Of course, the “you break it, you buy it” rule also applies to spilling nachos on someone’s artwork, so use common sense.

What should I bring to the Showcase?

Art.

Does IX have a policy on nudity in the Showcase?

Figurative nudes have a long history in the arts, and the IX Showcase is no exception. Artistic nudity is permitted.

Artist nudity, however, is not.

Does IX have a policy on AI-generated artwork in the Showcase?

AI-generated artwork may not be exhibited in any part of the IX show.
